Summary:
We are seeking a highly motivated and experienced HR Assistant & Administrator to perform a wide range of clerical and office support activities for the department and/or managers to facilitate the efficient operation of the organization.
Essential Duties and
Responsibilities:
Assist with day-to-day operations of the HR functions and duties.
Supports office staff with assigned duties, particularly when more advanced, skilled, or sensitive work is required.
Perform general administrative duties such as routing phone calls, receiving deliveries, distributing mail, filing, copying, binding, scanning, ad-hoc reporting, and data entry.
Greeting and authorizing vendors and visitors; main point of contact for office services and vendors.
Maintain a clean office environment, organize common areas, maintain supply levels, technical equipment inventories, and coordinate office janitorial contracts.
Ensure ongoing operation of office equipment and tools with contract management, preventive maintenance, managing inventories, and coordinating repairs.
Evaluate new equipment, tools, and techniques, with coordination of service installations and updates.
Recruitment tool administration; managing job requisitions, interviews, training, and user support.
Recruiting duties include source job candidates, coordinating, and communicate with applicants, screen candidates, schedule interviews and tours.
Provide solid internal and external customer service; produce and distribute ad-hoc reports, correspondence memos, letters, faxes, policies, and forms.
Maintain and publish office calendars, directory list, phone list, commuter lists and company organizational charts.
Maintain office and warehouse supplies and inventory levels; placing and expediting orders; tracking and verification of receipt.
Assist HR in putting together employee, new hire, and benefit packages; additional support with onboarding and open enrollment tasks as assigned.
Backup support to maintaining employee records; HRIS, training, employee files, and payroll systems.
Coordination, scheduling, and promotion of cultural events:
onboarding training, anniversaries/birthdays, office parties, job fairs, and other office events.
Generate and update excel reports, such as inventory, IT equipment, finance, employee lists, and other reports as needed.
Accounting support functions include but are not limited to verification of invoices, cash applications, credit card reconciliation, setting up part numbers, maintaining customer information, other AP backup.
Support business operations including but not limited to updating websites, user maintenance, maintaining contract and distributor information.
Coordinate monthly health and safety meetings, maintain employee training certificates, and other assigned safety tasks.
HR culture committee lead:
Zen/wellness room, event coordination, monthly newsletter, change communication, coordination of employee lunches and rewards.
Daily organization and maintenance of design registration inbox and report.
Develop and update administrative systems for efficiency and other duties as assigned.
Must maintain a high degree of confidentiality and must handle sensitive information in a confidential manner.
Qualifications and Requirements:
At least two years receptionist/administrative work experience required supporting executives.
PC literacy:
MS Word, Outlook, intermediate Excel (required).
Knowledge, Skills and Abilities:
Proficient in Microsoft Office Suite or related software.
Ability to type 55 WPM.
Ability to multi-task and balance multiple assignments in a fast-paced atmosphere.
Professional approach, utilizing good judgment, managing confidential information and creative problem solving.
Ability to adhere to Company policies and rules set forth; promotes the Company's safety standards; does not take unneeded risk.

Excellent communicator, with interpersonal and customer service skills.
Exceptional organizational skills and attention to detail.
Basic understanding of clerical procedures and systems such as recordkeeping and filing.
