Come be a dream maker with us! Law Office Administrator/Front Office Specialist We seek a skilled and personable Law Office Administrator/Front Office Specialist to join our legal team.
This role is critical in providing exceptional customer service and ensuring the smooth operation of our front office.
The ideal candidate will possess excellent organizational and communication skills, with the ability to manage administrative tasks and interact professionally with clients and visitors.
Responsibilities Include, but are not limited to:
Greet clients and visitors warmly, ensuring a positive and professional first impression of the law office.
Manage phone calls, emails, and inquiries, directing them to the appropriate legal professionals or departments.
Maintain a tidy and welcoming reception area, ensuring it reflects the professionalism of the law office.
Act as the primary point of contact for clients, providing information, answering queries, and addressing concerns.
Communicate with clients to gather necessary information and documentation.
Handle in-person client appointments to collect documents, signatures, take payments, retainer signing, or other case-related items Handle incoming and outgoing communications in the customer service call queue Assist in preparing and organizing legal documents, correspondence, and legal applications.
Manage and organize office files, both in physical and digital formats.
Coordinate and schedule meetings and other appointments for legal staff.
Collaborate with attorneys, paralegals, and other administrative staff to ensure smooth workflow and client satisfaction.
Communicate effectively with external vendors, court personnel, and other stakeholders.
Handle all incoming and outgoing mail and packages Requirements The following includes requirements of the knowledge, skill, and ability necessary to perform this position.
High school diploma or equivalent; additional education in office administration or a related field is a plus.
Previous experience in a law office or professional services environment is preferred.
Strong organizational skills with a keen attention to detail.
Excellent verbal and written communication skills.
Proficient in using office software (Google Workspace) and basic office equipment.
Ability to handle sensitive and confidential information with discretion.
